Spartan Clock is a workforce management application operated by Spartan Double Glazing Pty Ltd (ABN 89 933 629 169), a uPVC windows and doors manufacturer and installer based in Australia.

2. What Information We Collect
Spartan Clock collects the following information solely for the purpose of workforce management:
Location Data
We collect precise GPS location data when you clock in, clock out, start a break, or end a break. The app also records periodic GPS points approximately every 5 minutes while a shift is active. Location data is collected only while the app is open and a shift is in progress. We do not collect location data in the background when the app is closed.
Personal Information
We collect your name and your role within the company. No email address, date of birth, or government identification is collected.
Shift and Work Records
We record the time you clock in and out, break durations, job numbers, and worked hours. This information is used to generate timesheets and reports for payroll purposes.
Leave Requests
If you submit a leave request, we collect the dates, type of leave, reason, and any medical certificate you choose to upload.
Expense and Receipt Records
If you submit a receipt or reimbursement claim, we collect the store name, amount, category, date, and a photo or PDF of the receipt.
Device Data
We do not collect device identifiers, advertising IDs, or any technical data about your device.

3. How We Use Your Information
We use the information collected solely for the following purposes:

Generating and verifying employee timesheets
Calculating wages and overtime for payroll processing
Verifying that employees are on site at their assigned job location (geofence verification)
Processing leave requests and approvals
Reviewing and approving expense reimbursements
Providing management reports to authorised Spartan Double Glazing administrators

4. Where Your Data is Stored
All data collected by Spartan Clock is stored locally on your device using your phone's built-in storage (localStorage). Data is not automatically transmitted to any external server, cloud service, or third party. Shift records, leave requests, receipts, and GPS trail data all remain on the device where the app is installed.
If you clear your browser data or uninstall the app, all stored data will be deleted from your device.

5. Who Can Access Your Information
Your shift data, GPS records, leave requests, and receipt submissions are visible to authorised Spartan Double Glazing administrators (such as your branch manager or the company director). Other employees cannot see your records.
We do not sell, rent, share, or disclose your personal information to any third party, advertiser, or external organisation.

6. Location Data — Additional Details
Location data is used exclusively for the following purposes:

Recording your GPS coordinates at clock-in and clock-out to verify job site attendance
Generating a GPS movement trail during your shift so that management can review work activities and movements if required

You will be asked to grant location permission when you first use the app. You may revoke this permission in your device settings at any time, however doing so will prevent you from clocking in or out.
We do not use your location data for advertising, profiling, or any purpose unrelated to your employment with Spartan Double Glazing.

7. Photographs and Files
When you upload a photo or PDF receipt, that file is stored locally on your device. The file is accessible to authorised administrators within the app for the purpose of approving or rejecting your expense claim.

8. Data Retention
Data remains stored on your device until you or an administrator clears it, or until you uninstall the app. There is no automatic deletion schedule. Spartan Double Glazing may request that historical shift data be retained for payroll record-keeping purposes in accordance with Australian employment law (generally 7 years).

9. Your Rights
Under the Australian Privacy Act 1988 and the Australian Privacy Principles, you have the right to:

Request access to the personal information we hold about you
Request that inaccurate information be corrected
Request that your information be deleted, where legally permissible

10. Children
Spartan Clock is intended solely for use by employees of Spartan Double Glazing Pty Ltd who are 18 years of age or older. We do not knowingly collect information from minors.

We may update this Privacy Policy from time to time. The date at the top of this page will reflect when it was last updated. Continued use of the Spartan Clock app following any update constitutes acceptance of the revised policy.
